Hotel Events & Group Bookings: Running Banquets and Blocks Without Spreadsheet Chaos

Weddings, corporate offsites, and tour groups fill rooms and halls — and overwhelm hotels that track them in WhatsApp. Here's a cleaner way to run events and group blocks.

A wedding weekend or a 20‑room corporate block can make a quiet month. It can also destroy availability if rooms are “blocked” in a notebook while OTAs and the website keep selling.

Independent hotels need a simple way to run events and halls in the same operations platform as stays — and honest multi-room reservation workflows when tour or wedding room blocks are needed.

What you are actually managing

Room block How many rooms, which types
Money Advance, balance, who pays what
Desk visibility Arrivals board knows the group is real

Miss desk visibility and you will sell a blocked room to a walk‑in.

Spreadsheet failure modes (you have seen these)

  • Room count in Excel ≠ rooms held in the PMS
  • Deposit paid, but folio never opened
  • Group name only in WhatsApp — night staff do not know
  • Banquet date booked; rooms still open on OTAs

That is how revenue leaks and angry organizers start.

A workable process for independents

  1. Create the group / event with organizer contacts
  2. Assign or hold rooms against live inventory
  3. Collect advance and record it on the stay
  4. Confirm so Front Desk shows the block like other arrivals
  5. Check in / out room by room (or as your process allows)
  6. Close balances before the organizer leaves

Same discipline as a good night audit — just for multi‑room stays.

Events vs channel manager vs website

  • Groups are usually direct or agent — protect margin vs OTA commission.
  • Still sync public inventory so OTAs do not sell your blocked rooms.
  • Your booking website can stay open for FIT guests while the block is held in the PMS.
