Hotel booking software is the set of tools a hotel, homestay or farmhouse uses to take bookings, check guests in and out, bill them and keep rooms in sync across every place you sell. For a small Indian property, it usually replaces a register, a WhatsApp group and an Excel sheet with one screen that shows which rooms are free tonight.
People search for it under different names: hotel booking software, hospitality management software and hotel PMS software. They all point to the same job. This guide explains the pieces in plain English, the features that matter for small properties in India, and how to pick one without overpaying.
What hotel booking software does
At its simplest, booking software answers three questions at any moment:
- Which rooms are free, and for which dates?
- Who is staying, arriving or leaving today?
- How much has each guest paid, and how much is still due?
A register can answer these for a 4-room homestay on a quiet week. It breaks when bookings come from many places at once: walk-ins, phone calls, WhatsApp, your website and two or three OTAs. One missed update and two guests arrive for the same room.
Front desk vs booking engine vs channel manager
Most "hotel booking software" is three tools working together. It helps to know which is which before you compare vendors.
| Tool | What it does | Who uses it |
|---|---|---|
| Front desk system (PMS) | Room calendar, reservations, check-in and check-out, guest folio, GST invoice, reports | You and your staff |
| Booking engine | Lets guests see live rates and book on your own website, with online payment | Guests booking direct |
| Channel manager | Pushes your rooms and rates to OTAs and pulls their bookings back in | Runs in the background |
Front desk system (PMS)
The property management system (PMS) is the heart of it. It holds the room calendar, every reservation, guest details and the bill. When a guest checks out, the PMS prints the invoice. When you open the day, it shows arrivals, departures and dues. If you are new to the term, our guide to choosing a hotel PMS in India covers it in more depth.
Booking engine
A booking engine is the "Book now" button on your own website. Guests pick dates, see the rooms and rates you set, and pay online. Direct bookings carry no OTA commission, so even a few a month can make a difference to your margin.
Channel manager
A channel manager connects your room calendar to OTAs such as MakeMyTrip, Goibibo, Booking.com and Agoda. When a room is booked anywhere, availability drops everywhere. When you change a rate, it reaches every OTA without logging in to each extranet. This is the main protection against double bookings. See how ours works on the Channel Manager page.
You can buy these three from different vendors and connect them, but every joint is a place where data can go wrong. Many small owners prefer one system where the front desk, website and OTA sync share the same calendar.
Features that matter for a small Indian property
Feature lists can run to hundreds of lines. For a small hotel, homestay or farmhouse, these are the ones that change your day.
GST invoice at checkout
Your software should produce a proper GST invoice from the guest folio, with CGST and SGST for same-state guests or IGST for inter-state business guests, and your GSTIN and the guest's GSTIN where needed. Corporate guests will ask for this. The software prepares the invoice; your CA still handles filing. Our guide on GST for hotels in India explains the slabs.
OTA sync
If you sell on more than one OTA, two-way sync is the feature that saves you from refunds, angry guests and poor reviews. Ask whether the vendor syncs both availability and rates, how fast bookings arrive, and whether the channel manager is included or an add-on.
24-hour check-in
Hotels near railway stations, airports and temple towns get guests at 3 AM. A nightly stay with an 11 AM checkout is a poor deal for them. Software that supports 24-hour stays lets a guest check in at any time and leave at the same time next day, while the calendar keeps track of when the room is really free. In BitLegacy, 24-hour stays are available for hotel and resort properties. Read more in our guide to 24-hour stays for station and airport hotels.
Reports you will actually read
You do not need fifty reports. You need a daily summary of occupancy, average rate, revenue, payments collected and dues outstanding, plus a booking source report so you know how much comes from each OTA versus direct. Our guide to the hotel Daily Business Report shows what to check each morning.
Other things worth asking about
- Mobile access, so you can check bookings when you are not at the desk.
- Guest ID capture at check-in, for your police register and Form C for foreign guests.
- WhatsApp-friendly confirmations, since most Indian guests prefer WhatsApp to email.
- Payments, including UPI, card and cash, recorded against the right folio.
How to choose hotel booking software
Use these steps before you sign up for anything.
- Count your rooms and channels. A 3-room homestay with one OTA has different needs from a 20-room hotel on four OTAs. Pricing often depends on room count, so be exact.
- List where bookings come from today. Walk-ins, phone, WhatsApp, website and each OTA. The software must handle all of them in one calendar.
- Ask what is included. Is the website and booking engine in the plan price? Is the channel manager included or an add-on? Is GST added on top? Get the total in writing.
- Check the property type. A farmhouse let as one unit works differently from a hotel with 15 rooms. Make sure the software fits how you sell.
- Run a real trial. Enter last month's bookings, print a GST invoice, and check the reports. If your staff cannot use it in a day, keep looking.
- Ask about support. Find out who answers when the OTA sync stops at 9 PM on a Saturday, and in which language.
- Plan the switch. Pick a quiet week, move future bookings first, and keep the old register for a few days as a backup.

Summary
Hotel booking software is three tools that share one calendar: a front desk system for rooms and billing, a booking engine for direct bookings, and a channel manager for OTA sync. For a small Indian property, focus on GST invoices, reliable OTA sync, 24-hour check-in if your guests arrive at odd hours, and a few clear daily reports. Count your rooms, ask what is included, get the price with GST in writing, and test it with real bookings before you commit.
Frequently asked questions
What is hotel booking software?
Hotel booking software is the set of tools a property uses to take and manage reservations. It usually covers a front desk system (PMS) for rooms, check-in and billing, a booking engine so guests can book on your own website, and a channel manager that keeps rooms and rates in sync with OTAs.
Do I need a channel manager if I sell on just one OTA?
Not always. With one OTA and a few rooms, you can update the extranet by hand if you are careful. Once you sell on two or more OTAs, or take many walk-ins and phone bookings, manual updates often lead to double bookings, and a channel manager starts to pay for itself.
Is hospitality management software the same as a hotel PMS?
The terms overlap. Hotel PMS usually means the front desk system: rooms, reservations, check-in, folio and reports. Hospitality management software is a wider term that can also include the booking engine, channel manager, restaurant billing, housekeeping and accounting.
How much does hotel booking software cost for a small hotel in India?
It depends on rooms and features. BitLegacy Starter begins at ₹299/month + GST for 2 rooms, and the Channel Manager add-on is ₹1,000/month + GST on Starter and Growth. See the pricing page for your room count and ask any vendor for a written quote with GST shown.
