Charge to Room in India: How Hotel POS Should Meet the Guest Folio

14 September 20266 min read

Dinner on a paper slip and rooms on another system is how checkouts go wrong. Charge-to-room keeps in-house F&B on the guest folio.

Revenue & Growth

Most independent hotels and small resorts in India still run rooms on one system (or Excel) and food on another — a cafe POS, a notebook, or WhatsApp “put it on 204.”

That works until Friday night checkout: the guest swears they paid dinner; the front desk never saw the slip.

Product page: hotel POS software India.

What “charge to room” actually means

  1. Guest is in-house (checked in).
  2. Restaurant / cafe / bar takes an order.
  3. Staff (or a QR flow) associates that order with the stay.
  4. The amount lands on the guest folio for clearer final billing.

It is not a magic guarantee on every plan — BitLegacy supports charge-to-room / folio workflows where enabled. Confirm on Pricing.

What breaks without it

Symptom Cause
Missing dinner on the bill Paper chit never reached the desk
Double-billing arguments Guest paid cash; desk also posted
Night audit pain Two systems, two totals
Lost F&B revenue Informal tabs that never settle

Compare: PMS + POS vs separate systems.

Connected path (BitLegacy)

Piece Job
Front Desk / PMS Stay, room, folio
Restaurant & bar POS KOT/BOT, tabs — where entitled
QR ordering In-room / dine-in on entitled plans
Charge-to-room F&B settles with the stay when enabled

Resort + Restaurant (from ₹1,999/month — confirm live) adds POS + QR on top of resort ops. Hotels use hotel plans and enable F&B where entitled.

Vertical product: Resort + Restaurant management software.

GST note (honest)

Keep room and F&B lines clear on the folio — rates and SAC treatment can differ. BitLegacy provides GST-ready folios and an Accounting register. We do not claim automatic IRN / e-invoice IRP push on this page.

What this is not

  • Not a Swiggy / Zomato delivery OS
  • Not a banquet / marriage-garden CRM (events/halls exist; group-allotment UI is paused)
  • Not a substitute for the PMS + booking engine + channel manager stack for rooms and OTAs
