How a hotel PMS works (plain language)
Think of the PMS as the single source of truth for “which room is free, who is in it, and what they owe.”
1. Inventory and reservations
The PMS knows your room types and which dates are sold. Staff create walk-ins or reservations; the calendar (or rooms board) stops double-selling the same room when everyone uses the same system.
2. Check-in, stay, and check-out
On arrival, the guest is checked in against a reservation. During the stay, charges (room, extras, F&B where enabled) land on the folio. At checkout, the folio is settled and the room returns to available or dirty for housekeeping.
3. Billing and GST (India)
Indian hotels need tax-ready invoices (CGST/SGST/IGST as applicable). A modern PMS keeps folio lines and tax components together so the night close and guest invoice match — instead of rebuilding bills in Excel.
